Terms and conditions for the booking and provision of CPD courses

This page (together with the documents referred to on it) sets out the terms and conditions under which we provide the courses (courses) listed on our website www.facesaestheticsandtraining.com (the site). Please read these terms and conditions carefully before booking any courses from the site. You should understand that by booking any of our courses, you agree to be bound by these terms and conditions.

You should print a copy of these terms and conditions for future reference.

Please understand that if you refuse to accept these terms and conditions, you will not be able to book any courses from the site.

Please understand that if you are already working within the health/beauty/aesthetics industry your terms and conditions relate to you as a business. If you are not currently working within the health/beauty/aesthetics industry, our terms and conditions relate to you as a consumer.

INFORMATION ABOUT US

The courses are supplied by our training providers at Faces Aesthetics Training Academy Limited. We are registered in England and Wales under company number 13444207 and with our registered company at 182 Wilderspool Causeway, Warrington, Cheshire, WA4 6QA. HOW THE CONTRACT IS FORMED BETWEEN YOU AND US AS BOTH A BUSINESS AND A CONSUMER

Your booking constitutes a request to us to reserve a place for you on a course with a specific start date. All bookings are subject to acceptance by us, and we will confirm such acceptance to you by sending you an email confirming that a place has been reserved for you on the course. The contract between us will only be formed when we send you the course confirmation.

The contract will relate only to those courses for which we have provided a course confirmation and the deposit stated on the website has been paid.

PAYMENTS FOR CPD COURSES

Our site will take a deposit for your course booking, this will reserve you a place on a course. The remaining balance of a course is required in full 14 days prior to your reserved course date.

The only exception is if you have used our finance option with Payl8r in which the full balance would have been paid directly to us through Payl8r (please ensure you have read Payl8r terms and conditions as the companies documents are separate to ours)

REFUNDS FOR CPD COURSES

All course deposits are non-refundable and non-transferable. Once your course date has been booked and deposit has been paid, our site will send all relevant training material. By enrolling in this course, you agree that the initial deposit is non-refundable once access to digital downloads and course materials has been provided. Access to the digital content is considered granted upon successful download, regardless of the extent of use or completion. Therefore, no refunds or cancellations will be issued for the deposit after this point.

Faces Aesthetics and Training Academy is unable to offer refunds for cancellations out of our control i.e adverse weather conditions, terrorist attacks, flooding, industrial action. An alternative training date will be offered.

In the event that you cannot attend your training due to needing COVID-19 testing or self-isolation, you will be offered free rescheduling upon producing an official NHS text or email notification confirming a booked test, positive test result or NHS Test & Trace notification of required self-isolation dated to coincide with booked course dates.

Training will be non-refundable however rescheduling to the next course date once you are free from symptoms/isolation will be arranged.

CANCELLATIONS

Faces Aesthetics & Training Academy must be notified of any cancellation for any reason 14 days prior to the course date. Course dates cancelled within the 14-day period may result in loss of full course fees.

RESCHEDULING REQUESTS & FEES

In the event of a genuine reason for cancellation (proof of which may be required); of a confirmed training date notified prior to the booked training date, a request for a transfer will be considered at the discretion of Faces Aesthetics & Training Academy (subject to availability). If successful, an administration fee of £25.00 per course date will be charged. Non-attendance where no prior notice is given will be handled at the discretion of Faces Aesthetics & Training Academy and may result in loss of deposit course fees.

Should you be unable to attend a confirmed training date for medical reasons, a valid medical certificate covering the named student and day of the booked training will be required to waive the fee to reschedule. Under medical or compassionate circumstances (proof of which may be required) and where immediate rescheduling might not be possible; the deposits of the course may be placed on file as a gesture of goodwill. Deposits will be valid towards training courses only and run for a period of up to 6 months from the date of issue at which time the course fees would be forfeited. No refund of deposit fees can be issued.

ONLINE COURSES

All online courses are strictly non-refundable as we incur material fee for all online courses which we remain liable to cover regardless of whether the course is accessed and/or completed. Please ensure online courses meet your training needs, you have a suitable device connected to the internet through which to access the course/portal and can source the products/tools/models you require to complete the necessary case studies to pass the course. We may consider transferring students to one of our other online courses to the same value as goodwill, where a course is found to be unsuitable for an individual student, although this may be subject to an additional registration fee. To access your online course, you must email info@facesaestheticsandtraining.com with proof of identification and entry requirement certifications. Access will only be granted once entry requirements have been confirmed.

NAMED STUDENT

Booked training is non-transferable to an alternative student. Please ensure the booking is made giving the correct name of the person attending the course at the time of making payment. Amendments to this will be chargeable at £25 per course date/person, where possible for a change to be accommodated and a minimum of 48 hours’ notice prior to the course date is required, in writing.

In the event that Faces Aesthetics & Training should have to cancel your course for reasons outside of our control; We will endeavour to give students at least 24 hours’ notice of any cancellation by telephone and/or email. The Academy is not responsible for any accommodation/travelling costs students may incur due to the cancellation of courses.

GENERAL

All practical training must be completed within 6 months of booking your course, unless otherwise agreed in writing at the time of booking. Should you fail to attend your original training dates for any reason and the course later be retired or amended in content, no refund or difference in courses fees will be offered. You may, however, look to use the course fees on file as a credit towards payment for an alternative course of your choosing within 6 months of the original date of booking. Students who fail to book, attend, or reschedule training within 6 months of enrolling upon their course (taken from date of making first payment) will forfeit any course fees paid. We cannot offer any refunds, credits, or substitute training in such circumstances.

MINIMUM COURSE AGE

We accept all students aged 16 years or over for our face-to-face training courses. With regret due to insurance reasons, we are unable to accept students aged under 16 years on the day of training for face-to-face course. Please note most insurers will only provide public liability (beauty therapist) insurance for working with the general public to those aged 18 or over, although some selected companies will accept those aged 16 or over.

COURSE TIMES

Please arrive at the training academy 15 minutes before your start time. A short break for lunch is provided during which we recommend students remain within the training center (please bring cold food with you). If you arrive late in the morning or when returning from agreed breaks, you will be refused entry to the training. This is to avoid disruption for other students on the course.

In the event that you are late arriving in the morning and refused entry, please contact our Bookings Team to reschedule by emailing info@facesaestheticsandtraining.com – Please note a fee of £25 will apply to reschedule your training. If late returning from breaks you will be unable to complete your course and will forfeit course fees.

Please therefore ensure you allow sufficient time for travelling and returning from lunch. Make use of Google maps on smart phone or print map/directions from our website when planning your journey beforehand, to assist you to locate the center on the training day.

All students must attend the full training day until the end time. Should you choose or need to leave a course before the approximate end time, you will forfeit any course fees and may not achieve your certification.

Terms and Conditions for Qualifi regulated courses

These Terms and Conditions (“Terms”) govern enrolment and participation in all Level 3–7 Qualifi-regulated aesthetics courses provided by FACES Aesthetics & Training (“FACES”, “we”, “us”, “our”). By enrolling in a course, you agree to be bound by these Terms.

Definitions

  • Student: The individual enrolled in a course.
  • Course: Any Level 3–7 Qualifi-regulated programme offered by FACES.
  • Practical Assessment: Any hands-on training or in-clinic evaluation required for course completion.
  • Resources: Any materials, videos, documents, or tools provided via the online portal.
  • Payment Plan: Any agreed instalment scheme for course fees, including 3-part, 6-part, or 9-part plans.

2. Eligibility Requirements

2.1 Students must be at least 18 years old unless otherwise stated.

2.2 Students must meet any prerequisites stated for the course, including prior qualifications or experience. The awarding body may make changes to the entry requirements, during the course of the qualification. If changes are made, it’s the students responsibility to ensure that they meet those requirements. If BLS is an entry requirement, it is the student’s responsibility to ensure that they have this.. It is also the student’s responsibility to ensure that they have this qualification prior to the certification being claimed for the qualification. 

2.3 Students must inform FACES of any health conditions that may affect participation in practical training. Students must also inform FACES of any additional learning requirements, to ensure the correct support and adjustments can be made. 

3. Enrolment and Commencement

3.1 Students will be formally registered only once full payment is received and confirmation that the qualification is being started.  This can only be completed, once the: terms and conditions, proof of address, identification and student handbook has been received. 

3.2 Qualifications must be completed within 12 months of access. Failure to do so will require the cost of the enrolment fee with the awarding body to be paid. 

3.3 Qualification access is provided via email from FACES, which will include course access and induction scheduling details.

4. Online Course Materials

4.1 All resources on the online portal are the property of FACES.

4.2 Resources may only be used for personal study and completion of course requirements.

4.3 Sharing, reproducing, or distributing resources to third parties is strictly prohibited.

5. Practical Assessments

5.1 Practical in-clinic assessments must be attended at the scheduled time.

5.2 Students unable to attend must provide at least 7 days notice via email to info@facesaestheticsandtraining.com.

5.3 Failure to provide adequate notice will incur a rebooking fee of £199+VAT.

5.4 Assessments may only be scheduled once full payment has been received.

5.5 Students must follow all health and safety instructions during practical assessments.

6. Payment and Payment Plans

6.1 FACES offers flexible payment plans: 3-part, 6-part, and 9-part options.

6.2 Full payment or an active payment plan must be set up before course access is granted or assessments scheduled.

6.3 Students using third-party finance providers, such as Payl8r, are responsible for all arrangements with the provider; FACES is not liable.

6.4 Late or missed payments may result in suspension of course access until cleared.

6.5 It is the student’s responsibility to set up a monthly standing order for invoices to be received. 

7. Course Duration, Extensions, and Completion

7.1 The maximum time to complete a course is 12 months from qualification access. 

7.2 Requests for extensions must be made in writing; FACES reserves the right to charge an extension fee.

7.3 Failure to complete coursework or practical assessments within the maximum period will require re-enrolment and payment of fees. These fees are set by the awarding body and are subject to change annually. The fee will be confirmed. 

8. Academic Integrity

8.1 All submitted work must be the student’s own.

8.2 Qualifi employs plagiarism detection software. Students found guilty of plagiarism three times will be removed from the course.

8.3 Students must adhere to Qualifi academic regulations at all times.

9. Behaviour and Conduct

9.1 Students are expected to behave professionally during all training sessions, both online and in-clinic.

9.2 Harassment, bullying, discrimination, or any form of misconduct will not be tolerated.

9.3 FACES reserves the right to terminate enrolment for breaches of conduct.

10. Cancellation and Refunds

10.1 Students can not cancel enrolment once course access has been given. Refunds will not be issued once the enrollment process has commenced. 

10.2 If FACES cancels a course, students will be offered an alternative date.

11. Assessment Retakes

11.1 Students who fail an assessment may be eligible for a retake.

11.2 Students must adhere to the assessment schedule provided and complete any remedial requirements before retake.

12. Intellectual Property

12.1 All course materials, logos, branding, and certificates issued by FACES or Qualifi remain the intellectual property of FACES or Qualifi.

12.2 Students may not reproduce, distribute, or use these materials for commercial purposes.

13. Online Platform Usage

13.1 Students must maintain secure login credentials and are responsible for all activity on their account.

13.2 Any misuse of the platform or unauthorised sharing of content may result in suspension or termination of access.

14. Third-Party Providers

14.1 FACES may use third-party providers for finance, learning platforms, or assessment tools.

14.2 FACES is not responsible for service issues with third party platforms.

15. Force Majeure

15.1 FACES will not be liable for any failure to deliver courses due to events beyond its reasonable control, including but not limited to, illness, natural disasters, or government restrictions.

15.2 In such events, alternative dates will be provided where appropriate.

15.3 FACES will not be liable for any changes in Government regulation made after enrolment.

16. Limitation of Liability

16.1 FACES shall not be liable for any loss, injury, or damage arising from participation in a course, except where caused by negligence.

17. Certificates and Qualifications

17.1 Certificates will only be issued once all coursework, assessments, and payments are complete.

17.2 Certificates may be withheld in cases of plagiarism, non-compliance, or incomplete coursework.

17.3 Annually as an approved centre, we have an EQA visit. Upon waiting for this visit, Qualifi reserves the right to pause certificate claims. This may result in a delay, if your certificate claim is around this period. 

18. Complaints and Appeals

18.1 All formal complaints must be submitted to info@facesaestheticsandtraining.com.

18.2 FACES will acknowledge complaints and respond within 30 days.

18.3 Students may appeal assessment results or academic decisions following Qualifi’s appeal process. This can be found on Qualifi’s website.

19. Changes to Terms

19.1 FACES reserves the right to amend these Terms at any time.

19.2 Students will be notified of material changes prior to implementation.

20. Severability

20.1 If any provision of these Terms is deemed invalid or unenforceable, the remaining provisions shall remain in full force and effect.

21. Termination

21.1 FACES may terminate a student’s enrolment for repeated plagiarism, non-payment, misconduct, or breach of these Terms.

21.2 Termination may result in loss of course access and forfeiture of fees paid.

22. Data Protection and Privacy

22.1 Student data will be processed in accordance with UK Data Protection legislation and GDPR.

22.2 Data may be shared with Qualifi or third parties only as required for course delivery and accreditation.

23. Governing Law and Jurisdiction

23.1 These Terms are governed by the laws of England and Wales.

23.2 Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By enrolling in a FACES Level 3–7 Qualifi course, you confirm that you have read, understood, and agreed to these Terms and Conditions.

Complaints Policy

For all complaints due to these terms and conditions, please email info@facesaestheticsandtraining.com. Upon 24 business hours receipt of your complaint, we will acknowledge that we have received your complaint and that it is being reviewed/investigated by the relevant team.
